Enter the Procession – It’s Free to Enter!
It couldn’t be easier to join in and take part:
Simply fill out all sections of the online application form below, read and agree to the Rules and Regulations and HIT SUBMIT; and that’s it – you’ve ENTERED! There are two Processions to choose from; (afternoon) 2pm & 7:15pm (evening). You can take part in either or why not take part in both!? You will receive an automated email response with all necessary details and information – Please ensure to read this so you are fully aware of ‘where to be at what time!’ (Make sure to check your Junk/SPAM Mail folder!).
Remember it’s FREE to enter with cash prize donations to be won, so come and JOIN IN THE FUN!

Assembly:
The assembly point for the procession is at Parkside Industrial Estate, with parking for procession entrants available in Millstream Industrial Park immediately adjacent. Please ensure to arrive at the assembly point no later than the following times:
Afternoon Assembly: 1pm latest. (1:15pm for very young children) with judging 12:30pm – 1:30pm. Procession commencement: 2pm
Evening Assembly: 6pm latest with judging 5:45pm – 6:45pm. Procession commencement: 7:15pm.

Need Float Insurance?
Want to enter the Carnival and require insurance – NO PROBLEM!
There are plenty of organisations via a simple Google search which can offer float and public liability insurance. Event Insurance Direct are one of many who can assist you with your requirements – to visit their website: Click Here.
Float insurance can be as little as £30!
Need a template for your risk assessment?
We all want to have fun, but we also need to be safe too. Class 2 & Class 3 entries will need to have a risk assessment to address the risks associated with your entry. Do not let a risk assessment overwhelm you, nor put you off entering, as it can ACTUALLY be a good way to help design your float. In addition, an excessively long assessment is not necessarily required – it can be very simple BUT MUST ADDRESS YOUR RISKS in a logical format. For simpler entries, there will be little risk, whilst large floats will be more involved. Class 2 & 3 entries will need to bring your completed risk assessment on Carnival day and you will be asked to demonstrate you have this document to the Carnival team.
To provide some assistance, we have a risk assessment template with some example lines. Once you have identified your specific risks, and addressed how you will reduce or eliminate them, you simply state them! ITS LOGICAL AND SIMPLE.

Judging:
Judging takes place at Parkside Industrial Park at the following times:
Afternoon Judging: 12:30pm – 1:30pm
Evening Judging: 5:45pm – 6:45 pm
Classes, Judging, Trophies and Prizes:
Classes:
Class 1 – Walking Entries (single persons and groups) to include any pushed floats/props.
Class 2 – Small motorised floats (groups with small motorised vehicle) up to 7.5 Ton.
Class 3 – Large motorised floats (groups with large motorised vehicle – 7.5 Ton and over).
We very much welcome businesses to enter our processions and join in the fun! Entries however must have a theme, be in fancy dress with any support vehicles suitably decorated. A good entry/theme will attract positive attention to your organisation or business ! It’s Carnival ‘join in the ‘spirit!’

Trophies:
Jen & Den Youth Trophy – Best School Entry (Presented in the afternoon procession)
The Jade Clarke Trophy – Best Youth Entry (Presented in the afternoon procession)
The ‘Catweazle’ Trophy – Best Youth Walking Entry (Presented in the afternoon procession)
The Cox & Hicks Trophy – Best Humorous Entry Overall (Presented in the evening procession)
The Sampson Family Trophy – The ‘Spirit’ of Ringwood Carnival (Presented in the evening procession)
The Michael-Lingam Willgoss ‘Best of Show Trophy’ Trophy – Best of Show (Presented in the evening procession)
Presentation of trophies takes place in the market place during the procession and are awarded by members of the Ringwood Carnival Society, local dignitary & sponsors.
Prize Money:
Cash prizes will be donated to any winners’ chosen school, registered club or charity.
£500 for Best Overall Float.
£250 for 2nd Best Overall Float.
£100 for 3rd Best Overall Float.
£50 for the best entry within Class 1
£75 for the best entry within Class 2
£100 for the best entry in Class 3
£100 for each trophy Winner.

Penny Collection:
We provide buckets to all procession entrants to collect ‘pennies’ for Ringwood Carnival Society from the large crowds lining the streets. These pennies are then donated back into the local community. For more information on this process, please click here to view our donations page. The pennies collected during our processions are for the Ringwood Carnival Society and not to be kept by the procession entries themselves.

Please make sure that you read and adhere to the Rules & Regulations carefully.
Rules & Regulations
Please ensure that you read all rules and regulations and adhere to them:
- No entry to exceed 14ft overall height and 8ft 3ins overall width.
- No vehicle to have a turning circle greater than 20 metres.
- Motorised floats must provide at least four walking marshals.
- No entry to spray liquids or leave litter of any description.
- No animals under any circumstances.
- All floats carrying generators must carry at least two fire extinguishers.
- Particular attention should be given to guarding moving parts.
- The driver of any float vehicle to have appropriate licence and competence appropriate to vehicle.
- Floats/vehicles are to have guard rails, barriers or other restraints to prevent persons falling from floats. In addition, no one on a float, should not be able to excessively lean over the edge of the float.
- Ensure the construction of the float is sufficient to withstand the stresses and strains that will be put on it, during the procession/s.
- Ensure you have the appropriate vehicle insurance for your float entry in additional to Public Liability Insurance.
- The design of a float should be such that there is no need to enter a danger zone for refuelling generators or changing batteries/cassettes etc.
- All children and minors entering the procession must be fully supervised by an adults. The adult must be suitably qualified and have the permission of any parent/guardian to supervise minors and children in their carnival entry.
- Any entry is the sole responsibility of the group, club, business or organisation entering and not the responsibility of the Ringwood Carnival Society.
- The entering party must undertake its own Health and Safety Assessment to include suitable Risk Assessments and Method Statements (where applicable).
- We require all entrants to carry a paper ‘safety pack’ with them on Carnival Day, to include risk assessment and if vehicle insurance documents where applicable. Ringwood Carnival Society will be undertaking spot checks on this documentation.
- Should an entry appear appear unsafe or present a safety concern, the Ringwood Carnival Society will investigate the entry further, requesting documentation and reserve the right to withdraw the entry in an extreme case.
- Carnival, and the processions, aim to be fun. It is not a platform for the demonstration of political, philosophical or religious views, protests, or strong and extreme beliefs. Controversial or inappropriate procession entries which could be considered to be illegal or could cause general upset to the public and/or reputational damage to the Ringwood Carnival Society will not be tolerated.
- All entries must be decorated and, in the evening procession, be suitably illuminated.
- For trade entries, please ensure to have a suitable theme and any trade vehicles suitably decorated in accordance with your theme. Entries which have made little perceivable effort or utilising the processions purely as a platform to solely promote their business may not be permitted to participate.
- Should those entering the procession act inappropriately or dangerously due to being under the influence of drugs and alcohol, they will not be permitted to participate or will be removed from the procession.
- The pennies collected during our processions are for the Ringwood Carnival Society and not to be kept by the procession entries themselves (these are donated back into local charities, and good causes after Carnival day).
- Please ensure to supply your own water/fluid for your float entry or band. A refreshment van is available at Parkside Industrial Estate (assembly point). Water is not provided free of charge by The Ringwood Carnival Society.
The committee reserves the right to refuse any entry or to alter the class of any entry.
